Administrative Assistant (Gastroenterology Dept.)

Matrix Providers is hiring an Administrative Assistant (Gastroenterology Department) to join our team of talented professionals who provide health care services to our Military Service Members and their families at Walter Reed National Military Medical Center (WRNMMC), 8901 Wisconsin Avenue, Bethesda, MD.

  • Employment Status: Full-time
  • Compensation: This is an hourly position, paid bi-weekly
  • Schedule: Monday-Friday 7:30a.m.- 4:30p.m.

Minimum Qualifications:

  • Education: High School diploma or General Education Development (GED) equivalency.
  • Experience: 3 years’ experience in customer service, appointment scheduling and managing records.

Core Duties:

  • Provide patients with clear instructions regarding endoscopy procedures including Virtual and Optical Colonoscopy and Bowel preparation by phone or via e-mail. Additional procedures include: Flexible sigmoidoscopy, sedated and unsedated, EDG (esophagogastric-duodenoscopy with dilatation: banding; Bravo). Lower EUS (endoscopic ultrasound); Enteroscopy.
  • Make at least 15 patient phone contacts per day to explain endoscopy procedures scheduled, clinic appointment needed, answer all patient questions, and schedule appointments as directed by GI Providers and Scheduling Supervisor.
  • Perform basic computer skills to operate e-mail, web browser and draft documents and spreadsheets.
  • Ensure adequate supply of patient education materials/office supplies and arrange for re-order if necessary.
  • Per clinic guidelines, utilize proper phone etiquette.
  • Analyze patient information during the daily telephone screenings that may be at increased perioperative risk and give appropriate guidance or refer to the RN when complications exceed your scope of technical knowledge.
  • Create and maintain basic spreadsheets in Microsoft Excel to track number of calls made each day as directed by supervisor.
  • Perform accurate patient assessments by phone to determine suitability for Virtual or Optical Colonoscopy, and Clinic appointments.
  • Promptly report to the Scheduling Coordinator RN of abnormal findings in assessment, which may affect the prep use or prohibit sedation.
  • Adhere to established schedules for Virtual and (see other procedures) Optical Colonoscopies and Clinic appointments.
  • Participate in in-service education programs,
  • Participate in the Command's Quality Control Program.
  • Perform extensive administrative support that include maintaining statistical records of clinical workload, participating in education programs, and participating in clinical staff quality assurance functions and Process Action Teams, as prescribed by the Commander.
  • Participate in weekly meetings to review and evaluate the care provided to patients, identify opportunities to improve the care delivered, and recommend corrective action when problems exist
  • (MHS Genesis) formally known as the Armed Forces Health Longitudinal Technology Application (AHLTA). Contractor HCP shall attend training in the use of MHS Genesis.
  • Assist in orientation and training for new trainees using the guidelines established by the SGNA clinic and Scheduling Supervisor.
  • Demonstrate knowledge in the field of Gastroenterology.
